This notice explains how Kitabō™ uses information submitted through website enquiries, quotation requests, certificate access and business correspondence.

Information We Process

Kitabō™ may process contact, company, product, quotation, sample, shipping and enquiry information submitted through the website or business correspondence. Optional attachments should contain only information relevant to the request.

How Information Is Used

Information is used to respond to enquiries, prepare quotations, coordinate samples, plan production and packaging, support shipping and documentation, provide certificate access, manage business relationships and meet legal obligations.

Website and Technical Information

When you visit the website, limited technical information may be processed automatically, such as IP address, browser type, device information, referring page, requested pages, timestamps and security or error logs. This information is used to operate, secure, diagnose and improve the website.

Service Providers and International Processing

Kitabō™ uses technology service providers for website hosting, database services, authentication, certificate records and private document storage. These may include Netlify, Supabase and Cloudflare. Information may be processed or stored outside India where these providers operate. Appropriate care is taken when selecting and using service providers.

Cookies and Browser Storage

The website may use essential cookies or similar browser storage for security, authorised sessions, RFQ basket functionality and user-requested features. Kitabō™ does not currently use advertising cookies, behavioural tracking pixels or visitor profiling. Essential storage may operate where necessary to provide a feature requested by the visitor.

Analytics and Third-Party Tracking

Kitabō™ does not currently use Google Analytics, Meta Pixel, LinkedIn Insight Tag or similar advertising and behavioural-tracking technologies. If non-essential analytics or tracking technologies are introduced, this notice and any required consent controls will be updated before they are activated.

Certificate Verification

Certificate numbers and verification requests are processed to retrieve approved certificate records. Technical request information may also be recorded for security, reliability and audit purposes. Public verification does not display buyer identity or pricing.

Limited Sharing

Information may be shared where reasonably necessary with production, packaging, logistics, documentation, technology or professional partners involved in fulfilling a request, or where required by law.

No Sale of Contact Information

Kitabō™ does not sell RFQ or business contact information to advertisers.

Data Minimisation & Security

Only information reasonably necessary for the relevant business purpose should be used or shared. Reasonable organisational and technical measures are used, but no internet transmission or storage system can be guaranteed completely secure.

Retention

Enquiry, quotation, correspondence and attachment records may be kept for as long as reasonably necessary to respond, administer business, resolve disputes and meet legal or accounting obligations. Certificate and traceability records may have separate retention needs. Retention periods vary depending on the type of record. Enquiries that do not proceed may be deleted when no longer needed, while quotations, transactions, shipping, accounting and certificate-traceability records may be retained for longer where operational, legal or audit requirements apply.

Your Requests

Where applicable, you may request access, correction, deletion, restriction or clarification. Identity may need to be verified, and records may be retained where legitimate business or legal requirements apply.
