QR traceability for laboratory glassware: what should sit behind the code

A QR code is only the access mechanism. Traceability depends on the controlled record, identifier and document status behind it.

A QR code is a doorway, not the traceability system

Printing a QR code on glassware, packaging or a certificate can make information easier to retrieve, but the code is useful only if it resolves to a controlled record. Traceability depends on the identifier, data structure, document status and relationship between the record and the supplied item or batch.

Define the traceability level

Before implementation, decide whether the record identifies a product family, supply batch, certificate, carton or individual instrument. These levels are not interchangeable. A buyer expecting individual serial traceability should not receive a batch-only record without that difference being made clear.

Useful fields behind a verification record

  • Stable certificate or record identifier
  • Product/item code and description
  • Batch or individual identifier where applicable
  • Document issue status and revision information
  • Relevant test or calibration reference where actually supplied
  • Verification URL controlled by the responsible brand/system

The exact fields should match the real documentation scope rather than being added merely to make a record look technical.

Revision control matters

If a certificate is corrected or superseded, the verification route should avoid leaving multiple uncontrolled versions that appear equally current. A controlled system should make active status clear while keeping private administrative functions out of public discovery.

Private-label applications

For distributors and private-label brands, QR-linked records can support branded document retrieval from a controlled domain. The technical product specification and digital-record specification should be approved together so the identifier printed on a product or pack resolves to the intended record.

What Kitabō verification means

Kitabō’s public certificate-verification route is for records specifically approved and issued through that system. It should not be interpreted as proof that every Kitabō product carries an online certificate or that Kitabō is itself an accredited calibration laboratory.
